Letter of Demand Template

A formal letter of demand is often the most effective step you can take before referring a debt to a recovery agency. Use this template to put the debtor on formal written notice — clear deadline, clear consequences, professional tone.

Copy the template below, fill in the highlighted fields, and send. We recommend sending by email and registered post — and keeping copies of both. If the debtor does not respond within your deadline, refer the debt to Merion.

Despite our previous attempts to contact you — including [a reminder dated X / phone calls on X and Y / your email of X] — the above amount remains outstanding. As at the date of this letter, the total amount owed is:

  • Refer this matter to a commercial debt recovery agency and/or our legal representatives;
  • Seek recovery of the outstanding amount plus any accrued interest, collection costs, and legal costs as permitted by our terms of trade and/or applicable law;
  • Record the default with applicable credit reporting bodies where applicable.

Our terms of trade specify that interest accrues on overdue amounts at [Rate]% per annum and that reasonable collection costs are recoverable. We note that this matter may be resolved quickly and without further cost to either party if payment is made by the due date.

If you believe this invoice is in error, or if you wish to discuss a payment arrangement, please contact us immediately on [Your Phone] or [Your Email]. We are willing to discuss a reasonable payment plan, provided you contact us before the payment deadline.

How to customise this template

Replace every item in square brackets [ ] with your own details. Key fields to get right:

  • Invoice number and amount: Match these exactly to the invoice you are chasing. If there are multiple invoices, list each one separately.
  • Due date: The date payment was contractually due (not the invoice date, unless your terms are "payment on invoice").
  • Interest: Only include interest if your credit terms or contract entitle you to it. Use our late payment interest calculator to calculate the exact amount.
  • Payment deadline: Seven days is standard. Do not give more than 14 days — longer deadlines reduce the urgency.
  • Payment details: Confirm these are correct before sending — a debtor who wants to pay must be able to do so easily.

After you send it

Document the date and method of sending (email with read receipt, registered post tracking number). Set a reminder for the deadline date. If the deadline passes without payment or contact, refer the matter to Merion — having a letter of demand on file strengthens your position significantly.
